Privacy, Terms & Sources

A plain summary of how WinIntel handles information, the terms of the service, and the public data sources it draws on.

Privacy summary

WinIntel is operated by Artha Business Hub Ltd, registered in England and Wales with company number 17069103. ICO registration ZC138748. Contact: hello@winintel.co.uk.

WinIntel collects limited business contact, enquiry and tender-reference information so it can review enquiries, respond to suppliers and operate the Pre-Bid Commercial Intelligence workflow.

How we collect personal data

When you contact us, submit the Contact WinIntel form or submit the Send one tender form: we may collect your name, work email, organisation, role, reason for contact, sector where relevant, tender link or reference, page or article feedback, notes you choose to provide, and confirmation that you understand the form purpose.

We use this information to review your enquiry, assess whether the submitted tender appears within the current service scope, and reply to you. The lawful basis is UK GDPR Article 6(1)(b), steps taken at your request before entering into a contract, where you ask us to review a tender or discuss a potential Brief. Where the enquiry is general and no contract is being discussed, we may rely on Article 6(1)(f), legitimate interests, to respond to business enquiries.

When we carry out limited B2B outreach: we may use publicly available business contact information, such as name where publicly available, work email, job title or role, organisation name, company registration details where available, and public-sector bidding signals where relevant.

We may collect this from publicly accessible business and professional sources, such as Companies House, Find a Tender, Contracts Finder, organisation websites, and publicly visible professional profiles. The lawful basis is UK GDPR Article 6(1)(f), legitimate interests. You can object at any time by replying STOP or emailing hello@winintel.co.uk.

Systems and processors

For the current service intake flow, Netlify Inc. provides website hosting and form capture for the Send one tender and Contact WinIntel forms. Zoho Corporation BV provides business email for hello@winintel.co.uk. Google LLC provides Google Sheets storage for the WinIntel service Intake Register. Anthropic PBC may be used for AI-assisted analysis where appropriate, but outputs remain human-reviewed. Stripe Payments Europe Ltd will be used for payments once payment collection is active.

We do not sell personal data. We do not use personal data for automated decision-making that produces legal or similarly significant effects.

Retention

  • Inbound tender-review, contact and article-feedback enquiries: up to 12 months from last contact, unless you become a paying customer or ask us to delete the record earlier.
  • Outreach prospect records: up to 12 months unless there is engagement, objection, or a legal need to retain a minimal suppression record.
  • Suppression list records: retained as long as necessary to ensure we do not contact people or organisations that have opted out.
  • Customer and Brief records: retained for the customer relationship and up to 6 years where needed for legal, accounting, contract or dispute purposes.
  • Billing records: 6 years where required for accounting and tax purposes.

Your rights

Under UK GDPR, you may have rights to access, correct, erase, restrict or object to the use of your personal data. You can also object to direct marketing at any time. To use these rights, email hello@winintel.co.uk. We aim to respond within one calendar month.
