Who we are

What we collect

We collect information submitted through the Send One Tender and Contact forms, including name, work email, organisation name, message content and tender reference information you choose to provide.

Why we use it

We use form information to understand your enquiry, respond by email and maintain a basic manual intake record.

Lawful basis

For website enquiries and Send One Tender submissions, we rely on Article 6(1)(b) UK GDPR: processing is necessary to respond to an enquiry or take steps before a potential service relationship.

For any future outreach, we may rely on Article 6(1)(f) UK GDPR (legitimate interests), subject to a separate documented Legitimate Interests Assessment and suppression process. This Privacy Notice does not clear outreach by itself. The outreach assessment is a separate operational gate.

Providers and infrastructure

At launch, the website and intake process uses the following:

• Netlify — website hosting and form capture.
• Google Workspace and Google Sheets — manual intake tracking and related operating records.
• Cloudflare — DNS, security, proxying and related request processing where active.
• Zoho Mail — business email for enquiries and responses.
• Notion — internal operating documentation; it is not presented as the primary form-submission store.

We do not imply partnership or endorsement by any provider.

Retention

Inactive enquiry and outreach records are reviewed for deletion or minimisation in line with the internal retention schedule. Minimal suppression information may be retained for as long as needed to respect an objection or opt-out. Records may be kept longer where a service relationship, complaint, legal duty or legal claim requires it.

Your rights

You may have rights to access, correct, erase, restrict or object to processing of your personal data. You have an absolute right to object to direct marketing at any time.

Complaints

Contact hello@winintel.co.uk first. You may also complain to the Information Commissioner’s Office if you are not satisfied with how a data matter is handled.
